This Privacy Policy explains how Ten Oaks Consulting LLC ("Ten Oaks," "we," "us," or "our") collects, uses, and shares personal information when you visit tenoaksconsulting.com (the "Site"), contact us, book a call, or purchase services through the Site. By using the Site, you acknowledge the practices described in this Policy.

This Policy covers the Site only. Information we receive from clients in the course of an engagement (such as financial records, payroll data, or tax information) is governed by the applicable engagement letter and our professional confidentiality obligations, not by this Policy.

1. Information We Collect

Information you provide to us. We collect information you choose to give us, including:

  • Contact information, such as your name, email address, phone number, and company name, when you email us or request a quote.

  • Scheduling information, such as your name, email address, and meeting details, when you book a call through our third-party scheduling provider (Calendly).

  • Purchase information [if online checkout remains active], such as your name, email address, billing address, and payment details, when you purchase services through the Site. Payments are processed by our e-commerce and payment providers; we do not receive or store your full payment card number.

  • Any other information you include in your communications with us.

Information collected automatically. When you visit the Site, our website platform and its service providers automatically collect certain information about your device and browsing activity, such as your IP address, browser type, device type, operating system, referring URL, pages viewed, time spent on pages, and the date and time of your visit. This information is collected through cookies and similar technologies, described in Section 5.

2. How We Use Your Information

We use personal information to:

  • Respond to your inquiries and provide quotes;

  • Schedule and conduct consultations;

  • Process purchases and send related confirmations and invoices;

  • Operate, maintain, secure, and improve the Site;

  • Understand how visitors use the Site;

  • Communicate with you about our services, where permitted by law; and

  • Comply with legal obligations and protect our rights.

3. How We Share Your Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share personal information only as follows:

  • Service providers that perform services on our behalf, such as website hosting and e-commerce (Squarespace), payment processing [Stripe / PayPal / Square — confirm], scheduling (Calendly), and email. These providers may use your information only to provide services to us.

  • Legal and safety purposes, when we believe disclosure is required by law, subpoena, or other legal process, or is necessary to protect the rights, property, or safety of Ten Oaks, our clients, or others.

  • Business transfers, in connection with a merger, sale of assets, or other business transaction, subject to customary confidentiality protections.

  • With your consent or at your direction.

4. Third-Party Services and Links

The Site links to third-party websites and services, including our scheduling provider and our clients' websites. When you use those services, the third party's own privacy policy governs its collection and use of your information. We are not responsible for the privacy practices of third parties.

5. Cookies and Similar Technologies

Our website platform uses cookies, which are small data files stored on your device, to make the Site work, remember your preferences, keep your cart contents, prevent fraud, and measure site traffic and performance. [We do not use advertising or cross-site tracking cookies.]

Most browsers let you block or delete cookies through their settings. If you disable cookies, some features of the Site, such as the shopping cart, may not function properly.

Do Not Track and Global Privacy Control. Some browsers send "Do Not Track" signals. Because there is no common industry standard for responding to these signals, the Site does not currently respond to them. Because we do not sell personal information or use it for targeted advertising, we have no such activity for a Global Privacy Control signal to opt you out of.

6. Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this Policy, including to meet legal, accounting, tax, and recordkeeping requirements, after which we delete or de-identify it.

7. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive financial or tax information to us by unencrypted email before an engagement has begun.

8. Children's Privacy

The Site is intended for businesses and adults. It is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Your Privacy Choices and California Rights

Access, correction, and deletion. You may ask us to tell you what personal information we hold about you, to correct it, or to delete it, by contacting us using the information below. We will respond within a reasonable time, subject to any legal obligation to keep certain records, and may need to verify your identity before acting on a request.

Marketing emails. You may opt out of marketing emails at any time by using the unsubscribe link in the email or by contacting us.

California "Shine the Light." California residents may ask whether we share personal information with third parties for their own direct marketing purposes. We do not share personal information with third parties for those purposes.

10. Changes to This Policy

We may update this Policy from time to time. When we do, we will post the updated version on this page and change the effective date above. If we make material changes, we may also provide additional notice, such as a notice on the Site's home page. Your continued use of the Site after an update means you acknowledge the revised Policy.
